Office of the Registrar Newsletter, Fall 2023 edition

Feb 21, 2024

Fall 2023 marks the first deadline for the new Incomplete Grade Policy. Instituted in Fall 2022, students must achieve a permanent grade in the course no later than one year after the incomplete is given or the incomplete will revert to a failing grade.

Civics Literacy Graduation Requirement

As a reminder – Students starting at (or re-entering) PNW in Fall 2022 or subsequent semester are required to complete the Civics Literacy Graduation requirement, which includes completion of a pathway and passing the PNW Civics knowledge test. The pathway options include: taking an approved course, viewing a series of 12 podcasts or the attendance at 6 approved events. Tracking of the pathways and exam completion is available in myPNWplan as a separate block of requirements at the bottom of the undergraduate students’ degree audit.

View other academic regulations and program of study information in the Academic Catalog.

Students no longer need to use physical drop/add cards. Drop/Add activity will be handled directly through the Student Scheduling Assistant. All required approvals still apply and will be routed appropriately through the scheduling system. Last day to drop Fall 2023 full-term courses is Friday, November 10, by 4:30 pm. For other Fall parts of term, please refer to the online Refund and Withdrawal Schedule.

There is a new process for students who are withdrawing from all their courses for the current semester. Students will not be able to drop their only or last remaining class in Student Scheduling Assistant in myPNW. Instead, students who are withdrawing from all classes must complete and submit the online form – Full Withdrawal from Current Academic Term, which is available on the Registration tab in myPNW. Students will receive an email confirmation that their form has been submitted as well as when their courses have been dropped.

Review the guidance for Full Withdrawals here.

Note: Students wishing to withdraw from all courses for a future term that has not yet started can drop their classes in Student Scheduling Assistant.

Wait-Listing

The wait is over…Wait-Listing is back! Beginning in mid-July, students were able to add their name to a wait-list for a full class, if one was available, in Student Scheduling Assistant.

How It Works – When a student finds a course that is full, they can elect to add their name to a wait-list for any section of the course or for a specific section that they prefer. As space opens up in a closed course and there are no other restrictions, the student will be automatically registered based on their position on the wait-list and will be emailed a confirmation that the wait-listed course has been registered. Go to How to Register for Classes Online for more detailed information on wait-listing and other registration processes.

Disclaimers – Some courses do not utilize wait-lists – such as NUR subject codes, independent studies, and courses that require instructor or department permission. For those courses, students may request closed course overrides.

Registration processes in Student Scheduling Assistant do not pertain to students in the undergraduate or graduate online Nursing programs. Students in these programs should contact their Registration Coordinator.

Students Must Apply to Graduate in myPNW

All candidates for graduation must submit their Application for Graduation through the myPNW portal on the Graduation tab whether or not they intend to participate in commencement. Information from the application is used to order and mail their diplomas.

The deadline for Fall 2023 candidates to apply to graduate is Sunday, September 10, 2023.

The graduation application will open up for Spring 2024 candidates in mid-October when they begin registration for their final classes. Their deadline to apply to graduate is Sunday, January 21, 2024.

Fall 2023 Commencement Ceremony

Commencement ceremonies for Summer and Fall graduates will be held on the Hammond Campus on Saturday, December 9, 2023. Candidates must purchase their regalia from the campus bookstore by November 17. They will receive their guest tickets electronically closer to the ceremony date.

For more commencement information as it becomes available, visit the Commencement web site.

Summer 2023 Diploma Pick-Up Dates

Summer 2023 diplomas can be picked up Monday, August 28, through Friday, September 15. Diplomas not picked up within that timeframe will be mailed via USPS to the home address on file (or to an alternate address supplied by the graduate) beginning the week of September 18.

During the summer, the Registrar’s Office on the Westville campus relocated from Schwarz 40 to Schwarz 120. The Westville Registrar’s Office phone number remains the same – (219) 785-5342.
